Documentation Coordinator

Role Purpose
Ensure completeness of documentation for agent & vendor registration, maintain documentation with candidates and validate & maintain visa authorizations to overseas recruitment agencies.
Job Accountabilities & Activities
- Obtain draft & approved documents from relevant stakeholders and file them physically and electronically in CRM
- Maintain agency files
- Keeping orderly referencing of the filled documents in order to ensure easy retrieval
- Prepare checklists to ensure completeness of documentation
- Manage the approval flow of documents though out the organization
- Ensure proper documentation is available to issue Debit Notes to overseas agencies and follow up on the recoveries
- Manage flow of approvals for visa authorizations and file the approved documents
- File documents such as, job offers, passport copies, visa stamp copies in CRM
- Prepare standard documents that will be used in day to day operations until automated workflows through CRM
- Work with IT & other departments to document CRM work flows
